The Tone:

What You’ll Actually Do
• Attorney and Case Support: Provide comprehensive administrative and legal assistance to attorneys on a daily basis, including organizing and maintaining detailed case files for business law and litigation matters.
• Document Preparation and Management: Draft, format, and meticulously proofread a variety of legal documents, correspondence, and court filings to ensure accuracy and compliance.
• Scheduling and Coordination: Efficiently manage attorney calendars, schedule meetings, and accurately coordinate court dates and crucial deadlines to maintain workflow.
• Client Interaction and Communications: Serve as a primary point of contact by answering and directing phone calls, professionally greeting clients, managing incoming and outgoing mail, and ensuring timely follow-up on client inquiries.
• Office Administration and Efficiency: Assist with billing support, conduct basic research tasks as directed by attorneys, and handle general office duties to ensure the smooth and efficient running of the legal practice.

The Must-Haves
• Background: Possess a foundational understanding of law and legal processes, demonstrating the ability to work effectively with attorneys on complex business law and business litigation matters.
• Experience: Proficiency in preparing, drafting, formatting, and proofreading a wide range of legal documents, including pleadings, correspondence, and other essential legal materials.
• Core Administrative Skills: Strong administrative assistance capabilities, including adept calendar management, precise scheduling, thorough file organization (both physical and digital), and accurate data entry.
• Communication and Professionalism: Exhibit strong communication skills, encompassing clear verbal communication, professional phone etiquette, and concise written communication for interaction with clients and team members.
• Organizational Acumen: Demonstrate excellent organizational skills, meticulous attention to detail, and the ability to effectively prioritize multiple tasks and consistently meet deadlines in a busy environment.
• Technical Proficiency: Comfort with standard office software applications such as Microsoft Office or similar tools, along with a willingness to learn and adapt to legal practice management systems.
• Bonus: 3+ years of previous experience in a law firm or legal setting, and/or formal legal administrative training or certification is preferred. The ability to maintain confidentiality, demonstrate sound judgment, and interact respectfully with a diverse client base is also highly valued.
