The Tone:
This is a full-time role at a well-established and highly regarded law firm, located in Encino, CA. This firm is dedicated to providing specialized legal services within civil litigation. The role is critical for providing high-level administrative and litigation support, enabling attorneys to effectively manage cases from initial phases through trial. This position ensures the smooth operation of a civil litigation practice by managing multiple priorities and maintaining strict confidentiality.

What You’ll Actually Do
• Administrative Support: Provide comprehensive administrative and litigation support to assigned attorneys, including monitoring incoming correspondence and emails for timely follow-up and attorney awareness.
• Calendar Management: Manage attorney calendars, including scheduling hearings, depositions, mediations, arbitrations, trials, client meetings, and deadlines, ensuring compliance with all court-ordered and statutory deadlines.
• Document Production: Prepare, revise, proofread, and finalize pleadings, motions, discovery, subpoenas, correspondence, trial documents, and other legal filings.
• Filing & Organization: Electronically file documents in California state and federal courts, adhering to applicable rules and procedures, and organize both physical and electronic case files throughout all litigation stages.
• Case Coordination: Coordinate service of process, communicate with courts, clients, opposing counsel, court reporters, and vendors, and assist with discovery, document production, exhibit preparation, and trial binders.
• Financial & General Support: Enter attorney time, process expense reports, and provide additional administrative support as needed, delivering exceptional client service while maintaining strict confidentiality and professionalism.

The Must-Haves
• Background: Experienced professional with a minimum of 3 years of civil litigation legal secretary or paralegal experience in a law firm environment, possessing strong knowledge of California state and federal court rules, filing procedures, and e-filing platforms.
• Experience: Proven ability to support attorneys through all phases of civil litigation, demonstrating capacity to prioritize multiple deadlines, work independently, and apply exceptional attention to detail, professionalism, and sound judgment.
• Skills: Proficiency with Microsoft Office Suite, Adobe Acrobat, Outlook, and legal document management systems; excellent organizational, proofreading, document formatting, strong written, and verbal communication skills.
• Bonus: Experience preparing trial documents, exhibits, and trial binders; familiarity with litigation calendaring and case management software; a paralegal certificate (preferred for paralegal applicants); and the ability to work collaboratively in a team-oriented legal environment.
