Legal Administrative Assistant | NYU Langone Health

This role provides essential clerical and administrative support to attorneys within the Office of General Counsel, directly contributing to the efficient operation of legal services for critical areas like research, intellectual property, procurement, IT contracts, and real estate. • Pay: $53294–$75684 annually
• Team: Reports to the Senior Manager of Business & Legal System Operations and Project Supervisor, supporting various attorneys within the Office of General Counsel.
• Mission: To provide comprehensive clerical and administrative support, ensuring the efficient functioning of legal operations for key institutional areas.
• Tech Stack: MS Office (Access, Excel, Word), Document Management Systems (iManage preferred), billing and matter applications (Onit ELM and Peoplesoft Financials preferred), Digital Video Conferencing (Webex preferred)

What You’ll Actually Do
• Prepare legal documents and materials: Assist attorneys by drafting, formatting, editing, and proofreading a variety of legal documents, including memoranda, contracts, presentations, and affidavits, ensuring clarity and accuracy.
• Manage calendars and coordinate meetings: Maintain attorneys’ appointment calendars, schedule internal and external meetings (in-person and digital), and prepare necessary documents and arrangements for these gatherings.
• Support financial administration: Handle check requests, process invoices, submit receipts for reimbursement, and maintain accurate vendor and account information for legal expenses.
• Maintain legal files and conduct research: Proactively manage attorneys’ legal files, filing systems, and databases, and perform basic legal research using both public and subscription-based resources.
• Provide operational and IT support: Coordinate with the internal IT department to resolve device and application issues for attorneys, and offer administrative back-up coverage for the Office of General Counsel team.

The Must-Haves
• Background: Entry-level professional with an Associate’s degree or equivalent higher education.
• Experience: Prior legal office experience preferred, with 3+ years of legal office experience strongly preferred.
• Skills: Working knowledge of MS Office (Access, Excel, Word), excellent written, oral, and organizational communication skills, and the ability to multitask effectively.
• Bonus: Notary Certification, previous experience with iManage, Onit ELM, Peoplesoft Financials, and Webex.
