Legal Practice Assistant | FBT Gibbons

The Tone:

This position provides essential support to attorneys and other timekeepers, handling complex and specialized legal duties. • Team: Assigned Team, providing dedicated support to partners and working in close coordination with team members.
• Mission: This person will provide essential support to attorneys and timekeepers, ensuring efficient handling of complex legal duties and processes.
• Tech Stack: Microsoft Office software programs, CST workflow application, various software applications.

What You’ll Actually Do
• Intake Management: Manage the business intake process, including running adversary searches, drafting screening memos and engagement letters, and opening new files.
• Document Production: Prepare, revise, and format legal documents and correspondence, proofreading for content, spelling, grammar, and punctuation.
• Electronic Filings: Prepare documents and applicable fees for electronic filings and e-file them with federal and state courts and other agencies as instructed.
• Calendar & Workflow Management: Maintain timekeeper calendars, including court docket deadlines and meetings, and manage support requests efficiently using the CST workflow application.
• Administrative Support: Handle various administrative tasks such as processing and distributing mail, completing expense reports, and reviewing client billing statements.

The Must-Haves
• Background: A high school diploma or equivalent, coupled with a strong understanding of legal terminology and processes.
• Experience: At least 3 years of experience as a legal practice assistant.
• Skills: Highly proficient in Microsoft Office software programs; ability to learn and apply firm-specific software programs, including the CST workflow application; strong organizational, communication, and prioritization skills.
• Bonus: A proactive, detail-oriented, and client-service driven approach, with a positive and collaborative mindset and a willingness to mentor colleagues.
