Legal Practice Assistant | Maynard Nexsen

The Tone:

The Legal Practice Assistant is essential for ensuring the smooth daily operation of the practice group, supporting legal professionals by managing key administrative and client-facing tasks. This role directly contributes to the efficiency and effectiveness of legal services provided by the firm.

What You’ll Actually Do
• Document Management: Prepare, format, and finalize a wide range of legal documents and professional correspondence with precision and adherence to firm standards.
• Client Relations & Billing: Serve as a key point of contact for clients, managing interactions, accurately processing client bills, and handling expense reimbursements efficiently.
• Logistical Coordination: Skillfully coordinate and schedule various meetings, manage complex calendaring, and meticulously arrange all necessary travel logistics.
• Information Management: Take ownership of opening, organizing, and diligently maintaining both physical and electronic client files, ensuring accurate and accessible record-keeping.
• Administrative Compliance: Perform essential administrative tasks including conducting conflict checks, accurately inputting time entries, and managing a large number of cases effectively.

The Must-Haves
• Background: High School diploma required, coupled with prior litigation experience.
• Experience: 5+ years of experience preferred in a legal setting, with demonstrated experience in billing practices.
• Skills:
• Demonstrated ability to comfortably manage a large number of cases and multiple priorities simultaneously.
• Possess excellent organizational and interpersonal skills, adept at collaborating successfully with multiple team members and employees across all organizational levels.
• Competent to handle a variety of activities with exceptional attention to detail, quality, and accuracy, including strong follow-through and follow-up capabilities.
• Advanced proficiency with Microsoft Office Suite applications (Word, Excel, Outlook) and Adobe.
• Exceptional verbal and written communication skills, coupled with the ability to handle sensitive information with the highest degree of integrity and confidentiality.
• High level of flexibility and resourceful problem-solving, with the ability to work independently, respond quickly to changing demands, and meet short deadlines.
• Bonus: Proficiency with PowerPoint and SimplyAgree applications is a plus.
