The Tone:

This role is crucial for providing essential legal and administrative support to timekeepers within the Transactional practice area, directly contributing to the firm’s operational efficiency and exceptional client service.

What You’ll Actually Do
• Manage Schedules: Proactively manage an active calendar of appointments, meetings, video calls, and travel plans on behalf of attorneys.
• Facilitate Client Intake: Process new client/matter documentation, including initiating conflict checks, inputting information into the firm’s system, and preparing engagement letters.
• Produce Legal Documents: Transcribe, type, edit, proofread, and finalize legal documents, correspondence, memos, charts, billings, and reports.
• Handle Financial Administration: Prepare and submit personal and client-related attorney expense reports and reimbursements, and enter time into time management software for timekeepers.
• Organize Client Files: Maintain and organize both hard-copy and electronic files, ensuring accuracy and accessibility.

The Must-Haves
• Background: High School Diploma or equivalent required; Certificate or Undergraduate Degree strongly preferred. Five years’ experience in a legal environment, preferably in the transactional practice area.
• Experience: Prior experience as a Legal Assistant is required, with experience supporting Transactional, Corporate, or Litigation attorneys, coupled with advanced proficiency in Microsoft Office.
• Skills: Exceptional communication skills across phone, email, and in-person interactions, strong organizational and process skills, focused attention to detail, and the ability to spot inaccuracies and inconsistencies in documents.
• Bonus: Experience with iManage or similar electronic document management systems, DocuSign or similar e-signature programs, iTimekeep or similar electronic time management systems, Emburse or similar expense management software, electronic billing software, and CourtAlert.
