The Legal Executive Assistant serves as an integral member of a practice group, acting as a crucial right hand to industry-leading lawyers. This position plays a vital role in managing daily activities, ensuring efficient information flow, and skillfully prioritizing requests from both internal and external clients to support the firm’s operational excellence.

• Team: Integral member of a legal practice group, working closely with lawyers, teammates, managers, and firmwide colleagues.
• Mission: To manage the flow of information, organize and prioritize requests, and handle day-to-day administrative activities to ensure seamless support for industry-leading lawyers and clients.
• Tech Stack: Microsoft Outlook, iManage Workspaces, Chrome River, American Express Card, Excel

What You’ll Actually Do
Document Management: Compose, edit, and proofread correspondence, presentations, and documents, ensuring all related materials are accurately stored in iManage Workspaces and maintaining organized electronic and paper files.
Calendar & Meeting Coordination: Masterfully manage multiple lawyer calendars across offices and time zones, proactively coordinating internal and external meetings with meticulous attention to logistics and details.
Financial Administration: Efficiently reconcile and process expenses using Chrome River and American Express, actively manage timekeepers’ diaries, and collaborate with billing coordinators to ensure timely client billing.
Client & Lawyer Support: Provide superior client service, acting as a gatekeeper to prioritize needs, handling matters confidentially and independently, and maintaining professional relationships with legal counsel and agencies.
Travel Coordination: Arrange business travel using best practices and online tools, maintaining up-to-date travel preferences for lawyers to ensure smooth and efficient arrangements.

The Must-Haves
Background: College degree or equivalent, with a focus on administrative support within a professional services environment.
Experience: Expert proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook), demonstrating strong technological and document production skills.
Skills: Exceptional verbal and written communication adhering to business writing standards, strong organizational skills with meticulous attention to detail, robust interpersonal skills for building relationships, and a proactive approach to problem-solving and decision-making.
