The Tone:
This is a full-time, in-office Legal Assistant role at Duane Morris LLP. The firm is a global law firm with over 900 attorneys, providing innovative solutions to complex legal and business challenges worldwide. This role is crucial for delivering operational excellence and maintaining strong client relationships within the Private Client Services practice, requiring discretion and meticulous administrative support.

• Mission: Provide essential secretarial and administrative support to attorneys, ensuring efficient operations and client service within the Private Client Services practice.
• Tech Stack: iManage filing system, MS Excel, MS Word, MS Outlook, firm software

What You’ll Actually Do
• Client Document Processing: Handle drafting, copying, scanning, creation, and transmission of original client documents to attorneys and clients.
• Digital Information Management: Consistently and accurately file documents and emails into iManage and maintain client status in MS Excel.
• General Administrative Support: Manage attorney calendars, schedules, and Outlook contacts, plus process all incoming and outgoing mail and correspondence.
• Financial & Client Onboarding Coordination: Facilitate new client engagement processes, assist with client billing, and manage attorney expenses using firm software.
• Meeting and Estate Planning Assistance: Coordinate client meetings including logistics and document preparation, and act as a witness for estate planning document signings.

The Must-Haves
• Background: Associate’s or Bachelor’s Degree preferred with core domain knowledge in administrative or legal assistant functions.
• Experience: 4+ years of related administrative or legal assistant experience.
• Skills: Strong organizational skills, high level of technical competency with MS Word, MS Outlook, and MS Excel, strong written communication skills for proofreading, strong interpersonal skills for diverse communication.
• Bonus: Notary Public license strongly preferred; specific knowledge of estate and trust documents/terminology a plus.
