Legal Assistant | Abacus Group, LLC

The Tone:
This is a full-time role for a Legal Assistant, located in Washington, DC. Abacus Group, LLC is recruiting on behalf of an international law firm that provides comprehensive legal services across a global client base. This critical position directly supports attorneys by ensuring the precise execution of administrative and billing tasks, which is fundamental to maintaining the firm’s operational efficiency and upholding the highest standards of client service and financial integrity.

What You’ll Actually Do
• Billing Management: Proactively review attorney time entries for accuracy, completeness, and adherence to specific client billing standards, as well as complex outside counsel guidelines, playing a key role in maintaining financial integrity and client trust.
• Invoice Processing: Skillfully prepare client invoices by meticulously editing time and expense entries, accurately posting financial data, and effectively managing billing inventory in close collaboration with assigned attorneys to facilitate prompt and precise client billing.
• Administrative Coordination: Efficiently coordinate a broad range of administrative tasks including processing expense reimbursements, managing complex attorney calendars, arranging detailed travel plans, and organizing comprehensive document management, all tailored to meet individual attorney preferences and optimize their productivity.
• Confidentiality & Security: Rigorously maintain the confidentiality of all client, financial, and proprietary information in strict accordance with established firm policies, actively safeguarding sensitive legal and financial records as a primary responsibility within daily operations.
• Workflow Collaboration: Actively collaborate with various global teams by leveraging a centralized workflow and ticketing system, ensuring seamless communication and coordination to achieve timely and efficient service delivery for internal and external stakeholders.

The Must-Haves
• Background: Experienced professional with a strong foundation in a legal or professional services environment.
• Experience: A minimum of three years of directly relevant experience, specifically demonstrating proficiency in administrative coordination and billing support functions.
• Skills:
• Exceptional organizational skills, characterized by a meticulous attention to detail and the ability to manage multiple complex tasks efficiently.
• Strong customer service orientation, capable of communicating effectively and professionally with various internal and external stakeholders.
• Proven ability to multitask effectively and adapt quickly to new or evolving technology platforms and operational procedures.
• Demonstrated capability to work both autonomously and collaboratively within a team-oriented environment.
• Bonus: A Bachelor’s degree is preferred.
