The Tone:
This is an in-office position for a Legal Assistant located in Hackensack, NJ. RecruitHook is seeking this role for a well-established boutique law firm that offers significant exposure to actual casework beyond typical administrative duties. This position is crucial for supporting a small, busy team of attorneys, enabling them to focus on complex client matters by ensuring efficient case management and professional client interactions. The Legal Assistant plays a vital part in maintaining the firm’s operational efficiency, client satisfaction, and overall workflow.

What You’ll Actually Do
• Calendar and Deadline Management: Proactively manage attorney calendars, meticulously track all court deadlines, and ensure strict compliance with scheduled events and filing requirements.
• Legal Document Preparation: Prepare, format, and meticulously proofread a diverse range of legal documents, including pleadings, motions, and all forms of correspondence, ensuring accuracy and adherence to legal standards.
• Client Communication and Intake: Handle client intake processes with professionalism and discretion, serving as a primary point of contact for clients and managing all related communications effectively.
• Case File Management and Coordination: Organize and maintain comprehensive case files, overseeing both physical and electronic records, and coordinate essential communications with courts, opposing counsel, and outside vendors.
• E-Filing and Billing Support: Provide critical support for e-filing across various state and federal systems, alongside comprehensive billing support, which includes time entry review and detailed invoice preparation.

The Must-Haves
• Background: An Early Career professional with a minimum of two years of dedicated experience as a legal assistant or paralegal, with a preference for experience gained within a small law firm environment where adaptability and a broad range of responsibilities are common.
• Experience: Demonstrated strong writing and proofreading skills essential for drafting and reviewing legal documents, coupled with a proven ability to manage multiple competing deadlines efficiently and maintain discretion with sensitive information.
• Skills: Proficiency in utilizing various case management software solutions; Advanced expertise in the Microsoft Office Suite (Word, Excel, Outlook); Exceptional organizational abilities to maintain detailed case files and administrative tasks.
• Bonus: Familiarity with specific New Jersey court procedures and experience with state and federal e-filing systems, including eCourts, is considered a significant advantage.
