The Tone:
This is an administrative support role for a global law firm, specifically within their Disputes practice. The firm is seeking a dedicated individual to support a highly-regarded group of lawyers. This position plays a vital part in maintaining the smooth daily administrative operations of the practice, directly contributing to efficient matter management and enabling lawyers to deliver exceptional client service. It offers an exciting opportunity to further develop core litigation skillsets in a collaborative environment.

• Team: Supports lawyers within the Disputes practice
• Mission: Support the day-to-day administrative operations of the Disputes practice, ensuring smooth matter progression and enabling lawyers to deliver exceptional client service.
• Tech Stack: Microsoft Office suite, Milana (preferred)

What You’ll Actually Do
• Document Preparation: Execute document production tasks, including formatting, editing, and finalizing correspondence, memoranda, briefs, motions, and pleadings.
• Court Filings: Manage electronic filings with various courts, ensuring adherence to current format, filing requirements, and crucial deadlines.
• Deadline Management: Calendar and meticulously monitor case and matter deadlines, proactively notifying lawyers or the docketing team as needed.
• Client & Matter Setup: Open new clients and matters, which involves facilitating conflict checks, completing new matter forms, and preparing engagement letters.
• Financial Support: Review and edit pre-bills for submission to the billing department and conduct research on outstanding invoices and payments as required.

The Must-Haves
• Background: High school diploma is required, with an Associate’s or Bachelor’s degree preferred. Core knowledge includes performing legal administrative duties, specifically within a litigation context.
• Experience: A minimum of 5 years performing legal administrative duties within a law firm or professional service organization is required, with specific litigation experience being essential.
• Skills: Proficiency in the Microsoft Office suite, ability to quickly adapt to and learn new software, strong organizational skills, attention to detail, proactive problem-solving, and excellent verbal and written communication abilities.
• Bonus: An Associate’s or Bachelor’s degree is preferred, along with proficiency in litigation calendaring and specific software such as Milana.
