What You’ll Actually Do
• Client File Management: Organize, file, and meticulously maintain client files, managing up to 100 or more cases for case managers and attorneys.
• Document Retrieval: Accurately collect information for check requests related to medical records, accident reports, driving records, and vehicle ownership, then submit these requests for processing.
• Document Preparation: Diligently copy various documents and demand packages as needed by the legal team and case managers.
• Mail Handling: Precisely complete certified mail cards and ensure the timely mailing of documents and cost checks as requested.
• Correspondence Management: Prepare and dispatch a range of client and legal correspondence, including new client contracts, turndown letters, no representation letters, multi-party combo letters, and demand letters.
• General Administrative Support: Perform essential office duties such as typing, operating office machines, and sorting incoming and outgoing mail to maintain smooth daily operations.
The Must-Haves
• Background: Entry-Level role requiring foundational knowledge of administrative and clerical procedures, with specific understanding of systems for word processing, managing files and records, and other general office protocols.
• Experience: Demonstrated proficiency in computer and database expertise, including Microsoft Word, Excel, and Outlook. Candidates must also possess strong typing skills, with a minimum speed of 35 words per minute.
• Skills: Exceptional organizational abilities, great written and verbal communication skills, and a keen attention to detail. The role demands the capacity to multitask, prioritize tasks effectively, and manage a heavy workload efficiently with a positive attitude and minimal supervision in a deadline-intensive environment.
• Bonus: Preferred qualifications include an Associate degree, certificate, or equivalent work experience. Bilingual proficiency in English and Spanish is a significant advantage, and having at least one year of experience in the legal field is a plus.
