What You’ll Actually Do
• Support: Provide comprehensive administrative assistance to the capability leader and team, managing calendars, scheduling meetings, and coordinating various activities.
• Travel: Arrange all travel logistics and accurately prepare expense reports for the team.
• Financial: Assist with budget tracking and monitoring, including the submission of eTad forms.
• Content: Compile, edit, and prepare essential team reports, presentations, and other documents for internal and external communication.
• Logistics: Prepare meeting spaces, support logistics for small and large team events, and coordinate general administrative activities for the department.
The Must-Haves
• Background: An Associate’s degree is required for this position.
• Experience: A minimum of 2 years of administrative or related office experience is necessary, including prior experience supporting calendars, meetings, travel arrangements, expense reporting, and general administrative functions.
• Skills: Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint is essential, along with strong writing, editing, verbal, and written communication skills, organizational abilities, and attention to detail. The role requires the ability to manage multiple priorities in a dynamic work environment and work independently with limited supervision.
• Bonus: Preferred qualifications include experience supporting leaders or teams in a technical, research, or professional environment, the ability to anticipate needs and take initiative without frequent direction, strong judgment, problem-solving skills, resourcefulness, comfort in supporting highly technical professionals, and experience preparing materials or presenting updates to larger audiences.
