Event Assistant (Temporary) | Wine Enthusiast

The Tone:
This is an early career, temporary, part-time role at Wine Enthusiast, located hybrid in Valhalla, NY. Wine Enthusiast is a family-owned company that serves as the ultimate source of information and innovation around wine, building a comprehensive platform for wine-lifestyle products, an award-winning publication, and experiential events. This Event Assistant role provides crucial entry-level support to the experiential events team, ensuring the successful execution of brand activations and client-sponsored events for the company.

What You’ll Actually Do
• Event Logistics: Manage the full lifecycle of event-related wine, spirits, and supply deliveries, from collecting details and scheduling to onsite distribution.
• Administrative Support: Maintain guest lists, organize event supplies, track delivery timelines, and ensure event documentation is current using project management tools.
• Cross-functional Collaboration: Work closely with Video, Public Relations, Client Success, and Sales teams during the event planning process.
• Event Execution: Assist with on-site event logistics, including setup, registration, and attendee check-in, ensuring a hospitable guest experience.
• Post-Event Activities: Gather feedback, produce event reports, and collect relevant metrics from other departments for inclusion in these reports.

The Must-Haves
• Background: Bachelor’s Degree in communications, marketing, or hospitality is preferred.
• Experience: 0-2 years of experience in a support or internship role within events or media.
• Skills: Excellent verbal, written, and interpersonal communication, strong organizational abilities, attention to detail, and the capacity to multitask and work on multiple projects simultaneously.
• Bonus: Knowledge of Google Workspace, Monday.com, Slack, Eventbrite, video conferencing platforms (Zoom and Google Meet), and email marketing platforms (Attentive). A positive attitude and a willingness to learn and contribute to all event tasks are also valued.
