The Office Assistant plays a crucial role in maintaining organizational flow and contributing to administrative, creative, and operational needs across multiple departments, ensuring the team can function effectively. • Mission: This person ensures the Santa Monica office operates efficiently and remains organized, providing essential administrative and logistical support to various teams.
• Tech Stack: Google Workspace (Google Calendar, Docs, Sheets, Gmail)
What You’ll Actually Do
• Office Management: Manage the daily organization, upkeep, and overall functionality of the office, including maintaining clean shared spaces.
• Logistics Coordination: Handle all aspects of shipping, receiving, and distribution of deliveries, and coordinate office maintenance, repairs, and vendor visits.
• Supply and Space Management: Oversee office inventory and supplies, ensuring timely ordering and restocking, and assist with office moves or space updates.
• Team Support: Facilitate team calendar management, including scheduling meetings and coordinating internal calendars, and ensure all meetings and calls are properly organized.
• Cross-Departmental Assistance: Support design organization, ongoing creative projects, social media initiatives with the marketing team, PR gifting, and various administrative tasks across departments.
• Event Support: Provide on-site assistance for company events such as pop-ups, sample sales, and press opportunities, which may include occasional travel, setup, and talent coordination.
The Must-Haves
• Background: Early career level with a foundational understanding of administrative and operational support within a business setting.
• Experience: Demonstrated comfort in handling a wide variety of administrative and operational tasks; proficiency in Google Workspace is preferred.
• Skills: Strong organizational skills with keen attention to detail; excellent communication abilities; a positive, proactive, and team-oriented attitude; and a reliable, punctual, and highly dependable work ethic.
• Bonus: An interest in the fashion, luxury, or creative industries is considered a plus.
