What You’ll Actually Do
• Meeting Coordination: Efficiently schedule and coordinate meetings, managing calendars and preparing necessary materials for participants.
• Correspondence Management: Professionally manage all incoming and outgoing correspondence, including emails, memos, and physical mail.
• Record Keeping & Clerical Support: Execute essential clerical duties, meticulously organizing and maintaining accurate records and filing systems.
• Executive Support: Provide comprehensive administrative assistance to executives, aiding with various tasks to enhance their productivity.
• Office Operations & Communications: Oversee day-to-day office operations and handle all phone calls with professional etiquette, representing the company effectively.
The Must-Haves
• Background: Minimum qualification of currently pursuing or recently completed a degree in Business Administration, Office Management, or a related field.
• Experience: Demonstrated experience in administrative assistance and clerical duties, with a proven ability to organize records, maintain schedules, and support office operations. Prior executive administrative assistance experience, including coordinating meetings and providing direct support to leadership, is essential.
• Skills: Strong communication skills, both written and verbal, coupled with professional phone etiquette for interacting effectively with clients and team members. Possess a detail-oriented approach combined with strong time-management and problem-solving abilities to ensure smooth and efficient workflows.
• Bonus: Proficiency with standard office software suites, such as Microsoft Office Suite or Google Workspace, which will be an asset in daily administrative tasks.
