Project Coordinator | TORQ Coatings
The Tone:
This is a full-time role at TORQ Coatings, located in Lombard, IL. This role is crucial for keeping projects, customers, sales, and production aligned, directly contributing to delivering an exceptional customer experience and supporting the company’s growth. It requires someone adept at managing multiple moving pieces and maintaining organization in a busy environment.

• Mission: Ensure seamless project execution and customer satisfaction by organizing schedules, communication, and resources across sales, production, and customers.

What You’ll Actually Do
• Project Orchestration: Coordinate projects from contract signing through completion, including scheduling installations with homeowners and production teams, managing production calendars, and confirming project readiness while proactively identifying potential issues.
• Customer Engagement: Serve as the primary point of contact for customers after the sale, conducting scheduling and pre-installation calls, providing project updates, and coordinating post-installation follow-up to ensure an exceptional customer experience.
• Operational Alignment: Act as the bridge between sales and production teams, reviewing sold projects for accuracy, verifying details like measurements and colors, coordinating project changes, and ensuring crews receive complete and accurate job information.
• Resource Management: Monitor inventory levels and material requirements, coordinate material orders with suppliers, maintain inventory tracking systems, and ensure materials are available to crews before installation dates.
• Process Improvement: Maintain accurate CRM records, track project progress and job statuses, generate operational reports, and support leadership with administrative tasks and the documentation of operational processes.
The Must-Haves
• Background: This is not an entry-level administrative position; candidates must have successfully managed multiple complex elements in an environment where organization is key.
• Experience: Requires 2+ years of project coordination experience, with previous experience in production scheduling, construction administration, logistics coordination, or operations strongly preferred.
• Skills: Strong proficiency with Microsoft Excel and Google Sheets, exceptional organizational and multitasking abilities, excellent written and verbal communication skills, detail-oriented, and comfortable working with CRM systems and other technology.
• Bonus: Prior experience in home improvement, construction, or trades is preferred, along with a proactive approach to problem-solving and the ability to prioritize multiple projects simultaneously.
