What You’ll Actually Do
• Operational Support: Provide comprehensive administrative and clerical support to leadership and cross-functional teams, ensuring the efficient coordination of daily operational activities and effective program management.
• Process Management: Oversee critical hiring, credentialing, and filing processes to ensure compliance with all regulatory standards and maintain organized records.
• Project Coordination & Reporting: Assist actively in project coordination by tracking detailed information, compiling complex reports, and preparing thorough status updates for internal stakeholders.
• Information & Document Control: Create, edit, and format various professional documents including reports, spreadsheets, presentations, and standardized forms. This includes organizing and maintaining digital filing systems and performing accurate data entry, analysis, and record management in alignment with departmental standards.
• Communication & Workflow Management: Proactively communicate with internal teams to facilitate seamless workflow execution, initiate timely follow-up on pending matters, respond to information requests and general inquiries, and direct individuals to appropriate internal resources as needed. You will also prioritize and manage multiple work assignments, adapting to changing needs and requirements.
The Must-Haves
• Background: A High School Diploma or equivalent is required, with an Associate degree preferred for this early career administrative position.
• Experience: A minimum of one year of administrative experience is required.
• Skills: Demonstrated proficiency with Microsoft Word, Excel, PowerPoint, and Outlook is essential, with strong Excel skills being critical to success. Excellent organizational, problem-solving, and customer service skills are also necessary, alongside the ability to adapt to change, manage and be flexible with work priorities, and maintain a high level of attention to detail.
• Bonus: Preferred qualifications include experience working in a clinical or health care setting, and prior experience in data entry and project management.
