Role Overview: Assistant

Standby is seeking a dedicated and highly organized full-time, on-site Assistant to join our growing team in Tampa, FL. This pivotal role is responsible for providing comprehensive administrative and organizational support, ensuring the smooth and efficient operation of our daily activities. The ideal candidate will be proactive, detail-oriented, and adept at managing multiple tasks in a dynamic environment.

Key Responsibilities:

  • Provide essential administrative support to ensure the efficient functioning of daily operations.
  • Effectively manage schedules, appointments, and calendars to optimize team productivity and workflow.
  • Facilitate clear, timely, and professional communication within the team and with external stakeholders.
  • Assist with various general organizational tasks to maintain an orderly and efficient workspace and workflow.
  • Coordinate meetings, which includes scheduling, preparing necessary materials, and accurately maintaining minutes.
  • Maintain accurate records and documentation, upholding a strong focus on detail, completeness, and confidentiality.
  • Support overall daily operations with a strong emphasis on achieving maximum efficiency and accuracy in all tasks.

Qualifications:

  • Strong organizational and time-management skills to effectively manage schedules, prioritize tasks, and maintain records efficiently.
  • Effective communication and interpersonal skills to collaborate seamlessly with team members and various stakeholders.
  • Proficiency in basic administrative tools and software, including the Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace (Docs, Sheets, Gmail, Calendar).
  • Exceptional attention to detail and a proven ability to ensure accuracy and thoroughness in all documentation and task completion.
  • Demonstrated problem-solving and adaptability skills, with the ability to take initiative and thrive in a dynamic, fast-paced environment.
  • A high level of professionalism and the ability to handle sensitive and confidential information with the utmost discretion.
  • Experience in a similar administrative role or relevant administrative support experience is considered a significant advantage.
  • An Associate degree or equivalent education is preferred, though a combination of relevant education and practical experience will also be thoughtfully considered.
