The Opportunity: Healthcare Administration Intern

We are excited to offer a unique internship opportunity for a Healthcare Administration Intern to become an integral part of our team. This role is pivotal in supporting critical business functions within our dynamic Reimbursement Department, with occasional projects contributing to the broader G&A Department. This position is ideal for a highly organized, proactive, and detail-oriented individual eager to gain comprehensive, hands-on exposure to the day-to-day operational complexities and strategic initiatives within a fast-growing biotech company.

Job Responsibilities

Reporting directly to the Vice President, Reimbursement, the Healthcare Administration Intern will provide essential support across a diverse range of operational and financial functions within the company. Key responsibilities include:

1. Administrative & Tracking Support:

  • Correspondence Management: Assist with the meticulous review, categorization, and sorting of all incoming correspondence from payers, including official letters, physical mail, and electronic notifications, ensuring prompt processing.
  • Dashboard & Log Maintenance: Actively help track and diligently update critical reimbursement team dashboards and logs, covering aspects such as claims status, payer responses, and the status of outstanding appeals, to ensure accurate and real-time data availability.
  • Documentation Organization: Support the systematic organization and efficient filing of vital reimbursement documentation, including payer contracts, appeal letters, and other relevant records, maintaining an accessible and well-structured repository.
  • Financial Tracking: Meticulously maintain detailed spreadsheets for tracking claim denials, the progress of appeals, and payment receipts, contributing to robust financial oversight.

2. Claims & Appeals Support:

  • Appeal Packet Preparation: Play a crucial role in preparing comprehensive appeal packets by efficiently gathering and compiling all necessary supporting documents, such as Explanations of Benefits (EOBs), clinical notes, and lab requisitions, to facilitate successful appeals.
  • Appeal Submission & Response Tracking: Assist with accurately logging all appeal submissions and diligently tracking responses received from payers, ensuring a clear audit trail and timely follow-up.
  • Denial Reason Analysis: Help identify and systematically categorize common reasons for claim denials, providing valuable insights that can inform future strategy and improve claims processing efficiency.

3. Reporting & Data Support:

  • Internal Report Compilation: Compile and meticulously summarize essential information for the creation of internal reimbursement reports, prepared on a weekly and monthly basis, providing clear snapshots of departmental performance.
  • Basic Data Extraction: Under direct supervision, assist in running basic data pulls from various reimbursement systems, extracting key information for analysis and reporting purposes.
  • Meeting Material Preparation: Support the preparation of professional and informative materials required for critical payer meetings or high-level board-level reporting, ensuring data is accurately and effectively presented.

4. Cross-Team Collaboration:

  • Strategic Meeting Participation: Gain invaluable experience by shadowing team members during crucial payer calls and internal reimbursement strategy meetings, observing decision-making processes and negotiation tactics.
  • Financial Reconciliation: Collaborate closely with the Finance department to reconcile payments received against claims submitted, ensuring financial accuracy and identifying discrepancies.
  • Ad-Hoc Project Assistance: Provide flexible and timely ad-hoc support for various reimbursement projects as needs arise, demonstrating adaptability and a proactive approach.

5. G&A Department – HR & Finance Support:

  • Ad-Hoc Departmental Projects: Undertake occasional ad-hoc projects to support the Human Resources, Finance, and Office Management functions, gaining broader exposure to diverse corporate operations.

Requirements

  • Currently pursuing a bachelor’s degree in Business Administration, Finance, Accounting, Human Resources, or a closely related field.
  • Demonstrated strong attention to detail, exceptional organizational abilities, and excellent written and verbal communication skills.
  • Proven ability to effectively manage multiple tasks and competing timelines in a dynamic environment.
  • Previous experience or exposure to insurance processes, the broader healthcare industry, or the biotech sector is a significant advantage.
